HIPAA Compliance

Adtech Advanced Technologies understands that Physician / patient confidentiality is most important. Therefore all Physician / patient transcription related procedures, voice, and data storage and document management meet or exceeds HIPAA regulations. Please go through the following list of the rules and regulations that we strictly adhere to:

1. We have 24X7 security personnel manning our office.
2. Fingerprint access control system is installed in the main entrance.
3. All the external drives including floppy disk drives are disabled on each computer.
4. Our computers require passwords to start Windows and another password to access Word files.
5. We have firewalls and antivirus software on all the computers and update virus definitions frequently.
6. Any spoiled hard copies of notes and copies of patient schedules are cross-cut shredded on site.
7. Monthly back-ups of computer systems will be done and stored in a locked outbuilding on our property.
8. We have a smoke alarm and a fire extinguisher in our office.
9. We currently require all our employees to sign a confidentiality and non-disclosure agreement.
10. We maintain up-to-date contractual agreements with all business parties.
11. We have instituted security measures to protect the security and integrity of protected information according to HIPAA guidelines.

13. Technical evaluations are performed on a routine basis to make sure all systems meet or exceed specified security requirements.

Software & Hardware

All Doctors PCs installed with dictation software to record dictations. The software has the following functions:
• Listen to recording
• Edit recording
• Upload to main server
• Send directly to email or to FTP

Server PC will be installed with a file management software. This will enable the administrator to decide when and what file to be send for transcription. The file management is entirely depend on the client requirement and sufficient facility will be made in the program by our programmers.

The hardware required to be provided by the hospital is as follows:
• Handsets or recording devices
• Server & External Hard drive for back up.
• ADSL Internet Connection.

We will have a dedicated administrator employed in the hospital for effectively monitoring and managing the voice files and update the hospital records properly.
